Is Your Existing Data Capture System Too Slow, Too Expensive, Or Too Centralized? Have You Found That Data Capture Systems Are Either Feature Rich But Expensive or Affordable But Have Too Few Features?

At UFC we understand that information often originates at many different sources including globally distributed remote locations, offices distributed across one or more campuses, centralized mailrooms, fax lines, and other sources requiring a custom input strategy. Quickly placing information in the hands of decision makers, making it available for knowledge workers, and securing it in storage requires that information be securely capture from each of these sources. But we also understand that to capture data anywhere you must deploy capture related tasks, which can include scanning, indexing, quality control, and recognition verification, wherever your business processes dictate and wherever your qualified resource are located. In addition, we understand that the benefits of capturing data anywhere are quickly negated if the cost of deploying the capture system everywhere is too high in terms of software cost, end user licenses, and IT effort.

But not only did we think that being able to quickly capture data from anywhere at a low cost was important but we also wanted a system that was feature-rich for our clients. We wanted a system that could provide document automation features like automated separation, image clean-up, database lookup and validation, data recognition and extraction, and of course the ability to automatically capture index values and form data using barcodes, OCR, ICR, and OMR.

At UFC we looked long and hard to find the best data capture systems that would provide our clients with the functionality and capabilities that were needed to solve their capture pain points.

We wanted a data capture system that would not only provide for both distributed and centralized capture simultaneously but that was feature rich, with flexibility, ease-of-use, and a low total cost of ownership that is unequalled in the industry. And we were able to find this data capture system in a company called Prevalent and its data capture product called Quillix. Quillix meets the needs of our data capture clients by providing a secure, fully functional Web-based ‘thin client' capture/workflow application at a reasonable price. Coupled with a concurrent user licensing model, Quillix can easily serve a locally or globally distributed pool of authorized end users. And because the thin client is accessed through a web browser; there is no software to install and configure at each computer. The results are a lower initial technology investment that can be quickly scaled up if needed and a healthier bottom line.

But because we know that our clients may have different needs, and not all of them may need a true distributed image capture solution, we also needed to find a data capture system that was not only affordable and feature rich but could also offer, in addition to a remote based solution, a more centralized, department based solution that could handle the capturing of high volume, structured and non-structured forms. With many years of experience working in the data capture business; we knew who the leader was in forms recognition processing. And we decided to partner with them to provide our clients more options. As the leading provider of document conversion, data capture and linguistic software, ABBYY provides cutting edge recognition (OCR, ICR, and OMR) technologies for our customers that allow them to quickly unlock information from documents, such as invoices or bill of ladings, automatically acquire data, and store valuable information. We can work with clients to implement ABBYY solutions, both big and small, either enterprise wide or departmental, for either structured or unstructured forms using the best OCR, ICR, and OMR technology available.
